Odoo implementation for SMEs

Odoo for service businesses that have outgrown Excel

Pilvi sets up Odoo for service, consulting and subscription businesses. Quotes, orders, timesheets and invoices run in one system. Accounting can stay in the software you use now or move into Odoo.

Where the time goes

One customer, typed into four systems

In a growing service business the same customer lives in the CRM, a quote template, a timesheet and the invoicing tool. At month end someone copies the data across by hand, and the mistakes turn up when the customer calls about the invoice. In Odoo you enter it once and it carries on by itself:

QuoteSales builds the quote from the customer record using ready-made products.
ApprovalThe customer accepts the quote online with an e-signature.
ProjectThe accepted quote opens a project and tasks for the team.
HoursThe team logs hours on the project from a laptop or phone.
InvoiceThe invoice is built from approved hours and contracts.
AccountingInvoices and payments post to Odoo Accounting or go to your accounting software.

Why Odoo

Lighter than a traditional ERP

Odoo is a set of business apps that share one database. People call it an ERP, but for a small company it is mainly the place where sales, delivery and invoicing all see the same customer.

Start with two apps

For many customers the first step is CRM and invoicing. Projects, inventory or recurring billing come later, when you need them, without buying another system.

Updates without a project

Odoo Online is updated as a service. You don't run a server or budget for version upgrades.

One monthly price per user

The price covers every Odoo app. There are no per-app fees, and the cost only grows when your headcount does.

Works in the browser and on your phone

Log your hours and send an invoice from your phone, even from the airport.

Why Pilvi

Others build Odoo for factories. We build it for service businesses.

Most Odoo providers in Finland focus on manufacturing and production planning. Our customers make their money from hours, contracts and monthly billing, and Pilvi is built around that.

Accounting where you want it

Keep your accounting software and your accountant, and invoices reach them through an integration. Or run accounting in Odoo.

One team for Google and integrations

Email, calendars, web shop, payments and Odoo from one supplier.

Start small

A first phase is often ten users and two apps. More follows when you need it.

Part of a Finnish IT group

Pilvi belongs to the Winterbackwoods group, which employs more than 50 IT specialists.

FAQ

Questions we hear in the first meeting

Do we have to move our accounting into Odoo?

No. You can keep your accounting software and your accountant, and invoices reach them through an integration. You can also run accounting in Odoo itself.

How long does implementation take?

Two apps typically take 4–6 weeks, a broader rollout 8–12 weeks. The proposal gives the exact schedule.

What does Odoo cost?

A monthly licence per user plus the implementation. We calculate both for your number of users after the discovery call.

Where is our data stored?

On Odoo Online, European customers' data is kept in European data centres.

Can Odoo connect to Google Workspace?

Yes. Odoo syncs with Google Calendar, and users sign in to Odoo with their Google accounts.

Do we need Odoo Enterprise?

Usually, yes. Some of the apps a service business relies on most, such as recurring billing, are only in the Enterprise edition. The proposal tells you which edition you need.

Does Odoo work on a phone?

Yes. Hours, expenses, customer records and invoices work in the phone's browser and in the Odoo mobile app.
